What we collect, how we use it, and what you can do about it.
1. Who's collecting your data
LeadCove is a brand owned and operated by Miami Metro LLC ("we"), a Florida limited liability company. Miami Metro LLC is the controller of personal data you share with us through the LeadCove service. Contact: [email protected].
2. What we collect
From you, when you create an account
- Name and email address.
- Password (stored as a one-way hash by our authentication provider).
- If you upgrade to a paid plan: billing information (handled by our payment processor; we never see your card number).
From you, when you use the service
- Lists of properties or prospects you upload (addresses, owner names, MLS metadata, anything you provide).
- Notes you write, call outcomes you log, callbacks you set, statuses you change, and any other workflow actions inside the dashboard.
- Your CRM connection details if you opt in to integrations like Follow Up Boss.
From third parties, on your behalf
- Public records and licensed data — owner names, the people behind LLCs and trusts, phone numbers, email addresses — that we surface for the prospects you upload. This data is sourced from public-records APIs and licensed data partners.
Automatically, when you use the service
- Basic usage telemetry — pages visited, features used, errors — to keep the service reliable. No third-party advertising or behavioral trackers.
- Standard server logs (IP address, browser type, timestamps).
3. How we use it
- To run the service — process your uploads, surface contact data, render your dashboard, persist your work.
- To bill you on paid plans (when active).
- To email you about your account, the service, and material changes to these policies.
- To improve the product — diagnose bugs, plan features, measure performance. Aggregated and de-identified where possible.
- To comply with our legal obligations.
What we don't do: we don't sell your data. We don't run ads. We don't share your prospect lists with anyone outside Miami Metro LLC except as listed below.
4. Who we share it with
- Service providers we depend on to run LeadCove — categories include hosting infrastructure, database and authentication, data enrichment and verification partners, email delivery, and payment processing. Each is bound by a data-processing agreement and uses your data only to provide their service to us. We disclose the specific subprocessors on request.
- CRM integrations you opt in to — when you connect Follow Up Boss (or any other CRM), the prospects you choose to push are sent to that CRM under your account there. You control what's pushed.
- Legal compliance — if we're required to share data by valid legal process (subpoena, court order, etc.), we will, and we'll let you know if we're legally allowed to.
- Business transfer — if Miami Metro LLC is acquired or merges with another entity, your data may transfer; you'll be notified before that happens.
5. How long we keep it
- Account data: for as long as your account is open, plus 30 days after closure.
- Uploaded prospect data: for as long as your account is open. On account closure, deleted within 30 days.
- Billing records: retained as required by tax and audit law (typically 7 years).
- Server logs: 90 days, then purged.
6. How we keep it safe
Data is encrypted in transit (TLS) and at rest. Database access is gated by row-level security — agents can only ever read or write their own workspace's data. Administrative access is limited to a small set of authorized employees and contractors. We follow industry-standard practices for password hashing, secret management, and access logging. No system is perfectly secure; if a breach affecting your data occurs, we'll notify you promptly.
7. Your rights
Regardless of where you live, you can:
- Access the data we hold about you — log into LeadCove, you can see and export everything.
- Correct inaccurate data — edit it in the dashboard or email us.
- Delete your account and the data we hold about you — email [email protected] and we'll process within 30 days.
- Export your prospect data and notes as CSV any time, from inside the dashboard.
- Opt out of non-essential email by replying STOP/UNSUBSCRIBE.
Residents of California (CCPA), the EU/UK (GDPR), and other regulated regions have additional rights — to know, to delete, to non-discrimination, to data portability. Email us and we'll honor them at no charge.
8. Cookies and tracking
We use a small number of essential cookies to keep you signed in and remember your preferences. We do not use third-party advertising cookies or behavioral trackers. We do not sell or share your browsing data.
9. Children
LeadCove is for licensed real estate professionals. We don't knowingly collect data from anyone under 18. If you believe a child has signed up, email us and we'll delete the account.
10. International users
LeadCove is operated from the United States. If you use it from outside the U.S., your data is processed in the U.S. and you consent to that transfer.
11. Changes
If we change this policy materially, we'll email your account 14 days before it takes effect. Minor changes (typos, clarifications) post immediately and update the "Last updated" date at the top.
